Two account types — one for every affiliation

UTMail accounts are provisioned automatically based on your university affiliation. Your account type determines available features, storage, and how long access is retained after you leave the university.

Faculty & Staff

  • Available to current faculty and staff with active appointments
  • Full Google Workspace for Education Fundamentals access
  • Tied to your employment — suspended when appointment ends
  • Subject to open records requests
  • May automatically convert to a Personal account upon retirement

Students & Alumni

  • Available to current students and alumni
  • Gmail access retained after graduation
  • Must log in at least once every 365 days to avoid suspension
  • Drive access ends when transitioning to former-student or retiree status
  • Protected from open records requests when not used for university business

What’s included in UTMail

UTMail provides access to Google Workspace for Education Fundamentals. Only the apps below are enabled under the university’s license agreement. Other Google services — including the Google Play Store — are not covered by this agreement.

University email at @utexas.edu — accessible via web and mobile. Can be linked to Microsoft 365 for forwarding.

15 GB cloud storage for files and documents. Shared Drives are not available. Drive access does not persist after separation.

Docs, Sheets & Slides

Collaborative document editing. Files created or modified on or after May 2, 2022 count toward your storage quota.

Google Calendar

Personal calendar accessible through your UTMail account for scheduling and event management.

Google Meet

Video conferencing available within UTMail for virtual meetings and collaboration.

Google Forms

Create surveys and quizzes. Note: not permitted as a required element of course curriculum due to current accessibility standards.

Policies governing your UTMail account

UTMail is governed by a university contract with Google and a set of campus policies. Review these before storing university data or using UTMail for official business.

Privacy

Google services are governed by a contract between UT and Google that supersedes Google’s consumer privacy policies for core services. Non-core services accessed within UTMail fall under Google’s consumer terms.

Accessibility

Gmail meets the university’s accessibility standards. Other Google Workspace apps do not currently meet those standards and are not permitted for official university business or as required elements of course curriculum.

Data Classification

UTMail Business accounts are not suitable for all data types. Consult the Local and Cloud Services Decision Matrix before storing sensitive or confidential university data.

Shared Drives

New Shared Drives are disabled university-wide. Departmental and resource accounts are not available in UTMail — use Microsoft 365 for shared or departmental mailboxes and group storage.

Storage Limits

Accounts exceeding storage quotas cannot send or receive email, create new documents, or upload files until storage is reduced. Deleted items remain in Trash for up to 30 days before permanently freeing storage.

Account Separation

Student employees should maintain separate Personal and Business UTMail accounts. Do not use a personal account for university business — all university records must be stored in approved, university-managed locations.

UTMail Support

For account issues, login problems, or storage questions, contact the UT Service Desk. Account type conversions from Personal to Business require a phone call — they are irreversible and require your UT EID and both account addresses.

The UTMail portal at get.utmail.utexas.edu lets you manage your account, check your account type, and review storage usage.
